What the bench file holds

Seven things are written down when a board is ordered, and each one is named below with what is in it and how long it stays. The two typefaces on this page are requested from Google's font servers as the page loads, so that request carries your browser's address to Google in the ordinary way of a hosted font.

The order form.

It holds the sizes in mm, the timber, any groove or hand hole asked for, and the e-mail address the order arrived from, which reaches us at workshop@thehrdwood.store. We keep it while the piece is being made and for six years after despatch, since that is the span our accounting records run to.

The e-mail thread.

Sizing is settled in writing, so the thread that confirms a size stays attached to the order it belongs to. It holds what you wrote to us and what we wrote back, which is how a dispute over a millimetre is settled from the record rather than from memory. It is filed with the order form and runs out at the same time.

The delivery address.

It holds the name, street address, postcode and a telephone number for the courier, printed on the label and passed to the carrier who takes the box. The courier holds its own copy under its own terms, and ours stays with the order form for the same six years.

The card payment.

The card details are entered with our payment processor, which handles the authorisation and holds the card record on its own systems as the merchant of record for that step. What comes back to us is the amount, the currency, the last four digits and a transaction reference, and those sit in the accounts for six years.

The workshop file.

It holds the measured sizes of the finished piece, the timber it came out of, the coats of oil it took and the day it left the bench, filed against the order reference. We keep it for as long as a remake or a repair might be asked for, so the same board can be cut again to the same figures.

The one request that leaves your browser for another party is the font request named at the top of this page. Everything else on the page, including both calculators, runs on your own device and leaves nothing with us.
